Microsoft Teams → Lead → Pipeline

One-time setup

  1. Open Settings → Lead Sync.
  2. Click Connect with Microsoft and sign in with your M365 account.
  3. Select the Team and Channel you want to sync messages from.
  4. Click Save channel — new messages will now appear in the inbox automatically.
  5. Optional: enable Auto-create leads from new contacts (on by default).

Daily workflow

Process an incoming message

  1. Open the Conversation Inbox, set the channel filter to Microsoft Teams.
  2. Click a new conversation — the message appears in the thread panel.
  3. Top right: Open lead → check the Lead Drawer:
    • Fill in company and contact name
    • Set stage to Contacted or Qualified
    • Enter deal value if known

Move a lead into the pipeline

  1. In the drawer: set stage to Qualified.
  2. Click Open in Pipeline — the lead appears in the Kanban view.
  3. Drag the card to the right column.
  4. Assign a team member if needed.

Reply from Pragma

  • In the thread panel: type a reply → Send (goes out as a Teams channel reply).
  • Or use AI reply for a quick draft.

Delete a lead from Teams

Inbox → open conversation → Delete lead (red button in the thread header) → Confirm.
The lead and all messages are permanently deleted.

Manual sync

If a message is missing: Inbox → channel filter Microsoft Teams⟳ Sync.
Pragma fetches the last 50 messages and fills in any gaps.

Tip: turn off auto-create

If you mainly use Teams internally and only want specific contacts as leads:
Settings → Lead Sync → Teams: auto-create leads → disable.
Then sync manually — only known contacts get messages assigned.
